Privacy Policy

Success Transfer Mentoring provides free peer mentoring about college-transfer pathways through successtransfermentoring.org. The initiative operates from California, United States. This policy explains how we handle information received through our website, scheduling, meetings, communications, and optional feedback.
Information we receive
When you schedule a meeting through Calendly, we receive your name, email address, appointment details, and any response to “Please share anything that will help prepare for our meeting.” We also receive information you choose to include in emails or share during a meeting. Please provide only what is useful for mentoring; do not send passwords, financial account details, government identification numbers, or unnecessary sensitive records.
Meetings ordinarily take place on Zoom. If both parties agree to use a phone call or another method, we may receive the contact details needed for that meeting. Social-media accounts and additional personal contact details are not required. Any voluntary exchange of these details must be mutually agreed.
Our optional survey asks about your educational situation, experience with mentoring, confidence, satisfaction, and suggestions. It may also ask optional questions about personal background. Survey responses are treated as confidential. Depending on the form’s settings, an email address may be collected or associated with a response; a response should not be assumed to be anonymous merely because it does not ask for your name.
Our hosting, scheduling, meeting, form, and email providers may process technical information such as IP addresses, device or browser information, service logs, and cookies under their own policies. Website analytics, if enabled, may provide information about visits and use of the website.
How information is used
We use booking information and communications to arrange and prepare for meetings, provide mentoring, handle cancellations or changes, resolve technical issues, and respond to questions or complaints. We use feedback to evaluate and improve the platform.
With your permission, we may retain your email address to ask about your academic progress no more than once every 365 days. You may decline these check-ins or stop them by emailing us. Scheduling messages and responses to your own inquiries are separate from these optional check-ins.
We do not sell participants’ names or email addresses, use them for unrelated marketing, or collect payment information for mentoring. The service is free.
Surveys and public use of feedback
The founder, Luciano Ponce, is the only person within the initiative with access to raw survey responses. Service providers may process the information to operate and secure their services.
Survey participation is optional. Permission for internal evaluation does not automatically authorize a public testimonial or research publication. We seek separate permission for public reporting, research, or quotations, as applicable. Before permitted public use, we remove direct identifiers and review free-text responses and small groups for details that could identify someone. We do not publish identifiable responses without specific permission.
Future research may require a separate study notice, consent process, or ethics review. General survey permission does not replace those requirements. We do not extend an earlier permission to a new purpose without an appropriate basis and, where needed, renewed consent.
You may contact us to withdraw optional permission for future use. If a response is truly anonymous and cannot be linked to you, we may be unable to locate it. Information already published or irreversibly combined into aggregate findings may not be recoverable.
Meetings and photographs
Success Transfer Mentoring does not record mentoring sessions. A participant may record only with the express agreement of everyone present before recording begins. Permission to record does not authorize publication, distribution, transcription by an outside service, or use by an AI tool without separate agreement.
We use selected meeting photographs or screenshots on our website with permission. Names are not included with these images, but a person may still be recognizable. Photography is optional and does not affect access to mentoring. To request removal of an image from our website, email us. We can remove material under our control but cannot guarantee removal of copies others have saved or redistributed.
When information is shared
We share information with a mentor as needed to arrange and conduct the participant’s meeting. Providers supporting the platform include Netlify for hosting, Calendly for scheduling, Zoom for meetings, Google Forms for surveys, and Microsoft Outlook for email. These providers operate under their own terms and privacy policies.
We may disclose information when reasonably necessary to comply with law, respond to a valid legal request, address fraud or abuse, or protect a person’s safety or legal rights. Any public use of survey material or images is subject to the permissions described above.
Retention and security
We retain identifiable information for as long as reasonably needed for the purpose for which it was collected, including agreed follow-up, resolving complaints, and meeting legal obligations. We then delete it or remove identifying details where appropriate. Consent records may need to be retained to document authorized uses. Anonymized statistical findings may be kept longer when they can no longer reasonably identify a participant.
We use reasonable measures to restrict access and protect information. No online service or transmission can be guaranteed secure. Please contact us if you believe information has been disclosed or used improperly.
Your choices and requests
You may decline the survey, optional questions, photographs, testimonials, research participation, and annual check-ins without losing access to mentoring. You may ask to review, correct, or delete personal information we hold, or withdraw an optional permission, by contacting our email address. We may need enough information to verify your request. Applicable legal obligations and the limits of anonymous or previously published information may affect what we can remove.
Depending on where you live and which laws apply, additional rights may be available. This policy does not limit those rights. Contact us with a request or concern, including a concern about information relating to a minor.
Younger participants and international use
The platform serves people at the high-school stage and above, including adults of different educational backgrounds. Minors may participate subject to applicable consent requirements. A parent or guardian may contact us about a minor’s information or participation. Optional research and public use of a minor’s image or testimonial require age-appropriate permission and any parental or guardian authorization required by law.
The platform operates in the United States, and its providers may process information in other countries. Applicable privacy protections may differ from those in your country. Access from another country does not waive rights that apply to you.
Changes to this policy
We will post changes with an updated effective date and provide additional notice or obtain consent where required. A revised policy does not retroactively expand permission for previously collected photographs, testimonials, or research material.
